Bank Transfer/EFT and Payment Receipt Process

A step-by-step explanation of the bank transfer payment process for both the customer and the store.

Customer Side

  1. The customer selects Bank Transfer/EFT during checkout and completes the order.
  2. The order is created with the status Awaiting Payment. Your bank account details are displayed to the customer and also sent by email.
  3. After making the payment, the customer uploads the payment receipt from the order details in their account. The receipt may be a photo or a PDF file.
  4. After you approve the payment, the customer receives a notification confirming that the payment has been received.

Store Side

  1. You receive a notification for the new bank-transfer order. The order appears as Awaiting Payment in the Orders list.
  2. Check your bank account and open the payment receipt uploaded to the order details.
  3. If the amount is correct, approve the payment from the order details. The payment status changes to Paid, stock is reduced, the order moves to preparation, and the customer is notified.
  4. If the payment has not arrived or the amount is incorrect, contact the customer. You may cancel the order where necessary. Because the payment has not yet been approved, stock is not affected at this stage.

Tips

  • Ask the customer to include the order number: On the screen where the bank details are displayed, ask the customer to enter the order number in the transfer description. This makes matching the payment to the order easier.
  • Approval speed affects the sale: Customers paying by bank transfer wait for payment approval. During working hours, try to approve payments within a few hours. WhatsApp and email notifications help you notice newly uploaded receipts quickly.
  • Unpaid orders: Cancelling bank-transfer orders that remain unpaid for a specified period makes stock planning clearer. The customer can try again using the available repayment options.
